About the team

The Faculty Frontier TM product is our ambitious vision to create the first enterprise-grade platform that unifies decision intelligence with AI Agents to optimise real-world outcomes of critical processes across large-scale organisations. You will work on highly complex and consequential problems across the real economy, with particular focus on healthcare and life sciences.

About the role

This is a hybrid role combining hands-on executive support with product team coordination.

Working directly with our CTO, VP Commercial and other key members of the product leadership team, you will amplify the productivity of our leaders with a full range of administrative responsibilities - expertly managing diary, travel, expenses and logistics.

Alongside this, you will embed within the Product Operations team, supporting the coordination of activities across priority projects and initiatives - managing communications, keeping data accurate, following up on actions and managing key stakeholders. By working together with both leadership and Product Operations, you will play an important role in keeping the operating rhythms of the entire product team running smoothly - from the most senior priorities down to the day-to-day.

This is a great role for someone with strong EA experience who is keen to grow beyond it - someone who is drawn to complexity, energised by a fast-moving environment and excited to have a greater impact across the organisation.

What you'll be doing:

  • Managing complex diaries and high-stakes meetings for the CTO and VP Commercial, proactively resolving scheduling conflicts, communicating with external stakeholders and managing global travel logistics.

  • Reviewing and managing executive inboxes to prioritise critical communications and reduce cognitive load for leadership.

  • Supporting the execution of high-priority strategic projects and initiatives as a core member of the Product Operations team.

  • Coordinatinginternal collaboration and operating rhythms across the product team, managing meetings across our org structure, preparing materials, ensuring actions are tracked and followed up.

  • Drafting and circulating internal communications to keep the product team informed, sharing updates, announcements and key conclusions from leadership.

  • Executing operational processes, including budget approvals, expense tracking, and software licensing, to ensure seamless team performance.

  • Building collaborative relationships across the organisation and with external partners to unblock challenges and accelerate progress.

  • Organising team events and offsites, taking full ownership of logistics from venue sourcing to contract negotiation.

  • You demonstrate impeccable discretion and judgment, handling sensitive information regarding leadership decisions and budgets with maturity and integrity.

  • You are a proactive problem-solver who seeks out ways to improve processes, flagging issues early and always arriving with potential solutions.

  • You possess strong communication skills, with the ability to adapt your tone and style to influence stakeholders at all levels of seniority.

  • You bring a high level of technical literacy and a curious mindset, comfortable navigating productivity tools and picking up new systems quickly.

  • You exhibit rigorous attention to detail and scientific rigor in your work, ensuring trackers, records, and slide decks are accurate and professional.
