Resource Coordinator | Location: Swanley | £17.73-.19.09 per hour (inside IR35) | 12-Months Contract | Starting November 2025

Are you a highly organised individual with a knack for coordinating people and processes? We’re looking for a Resource Coordinator to join our team in Swanley. This role is essential in ensuring the smooth coordination of project staffing and office operations, with a strong focus on third-party workforce management and administrative support.

Key Responsibilities

Candidate & Contractor Sourcing

Source candidates through an approved Preferred Suppliers List (PSL), ensuring compliance and cost efficiency.
Coordinate staffing for midweek, weekend, and commissioning projects with agility and precision.
Forecast resource demand in collaboration with project teams to ensure timely and effective staffing.

Contractor Management & Compliance

Confirm and coordinate contractor selections with internal teams and external suppliers.
Maintain commissioning spreadsheets for accurate tracking and reporting.
Manage the requisition-to-pay process, ensuring valid rate agreements and purchase orders are in place.
Ensure adherence to rate cards and IR35 compliance for all contractors.
Oversee Tier 2 supplier relationships, including performance feedback, procedural updates, and contact management.

Data Integrity & Auditing

Conduct internal audits of resourcing data to ensure accuracy and compliance.
Monitor shared inboxes to ensure timely responses to queries and requests.

Training & Certification

Book training courses and ensure all third-party workers are fully certified and compliant from day one.

Office & Administrative Support

Provide reception cover and general administrative support to the Swanley office.
Manage PPE ordering for permanent staff to ensure safety and readiness.
What You’ll Need to Succeed

At least 1 year of experience sourcing and procuring agency staff for technical, professional, or contingent labour roles—ideally within the rail or infrastructure sectors.
Strong relationship-building skills with both internal stakeholders and external suppliers.
Excellent organisational and multitasking abilities, with a proactive and flexible approach.
Proven success in delivering contractor resourcing solutions for projects.
Ability to work independently while contributing to a collaborative team environment.
Proficiency in Microsoft Excel and Word, with a keen eye for detail.
A willingness to learn and adapt in a fast-paced, dynamic environment.
