We are seeking a skilled and detail-oriented CAFM (Computer-Aided Facilities Management) Administrator to join an established facilities management team in Manchester. The CAFM Administrator will be responsible for the effective operation, maintenance, and optimisation of their CAFM system, ensuring seamless data management, scheduling, and reporting. This role is critical in supporting our facilities and operations team, improving efficiency, and helping maintain a high standard of service delivery across our sites. This is a permanent role paying up to £30k, working Monday – Friday 40.00 hours per week.Key Responsibilities:
CAFM System Management: Maintain and update the CAFM system, ensuring accurate asset data, work orders, and maintenance schedules.
Work Order Processing: Generate, track, and close work orders in the CAFM system, ensuring timely resolution and compliance with SLAs.
Data Integrity: Regularly audit and validate data within the CAFM system to ensure consistency, accuracy, and completeness of records.
Reporting and Analysis: Produce scheduled and ad-hoc reports for the facilities team, management, and stakeholders, including KPI metrics, asset performance, and maintenance trends.
Support and Training: Provide training and support for CAFM system users, assisting with troubleshooting and guiding team members on system best practices.
Scheduling: Coordinate planned and reactive maintenance schedules, liaising with contractors and internal teams to minimize operational disruption.
Documentation: Ensure that all CAFM-related documentation, including user guides and workflows, is up to date and accessible to relevant team members.
Compliance: Ensure all CAFM processes align with health, safety, and regulatory standards.Key Requirements:
Experience: Previous experience as a CAFM Administrator or a similar role within facilities management.
Technical Skills: Proficiency in CAFM software (e.g., Concept Evolution, Planon, or Maximo) and strong skills in Microsoft Office Suite, particularly Excel.
Attention to Detail: Strong analytical skills with a focus on accuracy, data integrity, and attention to detail.
Communication: Excellent written and verbal communication skills, with the ability to work effectively with internal teams and external contractors.
Problem-Solving: Proactive approach to identifying system improvements and resolving issues.
Organisational Skills: Strong organizational and time management skills, with the ability to manage multiple tasks and deadlines.Preferred Qualifications:
Knowledge of facilities management processes, including planned and reactive maintenance.
Experience with reporting and analytics, particularly within facilities or asset management.
