Supply Chain Coordinator

Job Summary:

We are currently looking to hire a Supply Chain Coordinator to work out of our offices in Ashford, Middlesex. The Supply Chain Coordinator is responsible for all operational aspects of inventory management & forecasting required to support the client operation across the UK. By using analytical and quantitative methods to understand, predict and enhance supply chain processes, the Supply Chain Coordinator will ensure an efficient supply chain is run, responding to customer and local stakeholders’ requirements. The Supply Chain Coordinator has a pivotal role in connecting the customer’s and the business’ expectations through an active engagement of the supply base.

Main Duties & Responsibilities

Forecasting

  • Actively engage with the commercial team to understand variance in demand and special events that will affect overall future demand

  • Review past demand to understand trend and supply chain impacts of over/under consumption

  • Maintain systems to ensure accurate forecasting for short and long-term planning

  • Actively engage with the customer to understand supply chain impacts/trends and demand variance

    Inventory Management

  • In line with established forecast, run material replenishment planning on a regular basis

  • Review suggested purchase orders and validate or amend as appropriate

  • Review and resolve any Purchase Order and Transfer Orders exceptions daily

  • Monitor stock availability across warehouses and achieve inventory levels in line with safety stock targets

  • Proactively manage items through their lifecycle, ensuring stock of new items is available in good time for product launches and remove delisted, QC, damaged or returned stock in timely manner according to the correct processes

  • Manage stock obsolescence pro-actively

  • Report potential supply risks and shortages as required

  • Organise direct deliveries or request couriers where needed, to ensure customer service levels are maintained

  • Maintain KPIs to present detailed analysis of forecast versus actual consumption variances, as well as a comparison to previous months

  • Responsible for formulating, improving, and distributing a series of reports for senior management as per the requirements of the business, delivered on time and to prescribed quality standards

  • Ensure all customer KPIs relating to inventory management and in-full order fulfilment are met

  • Adheres to legal/ HACCP compliance across health and safety, food safety, security, and gateOPEX (in-house operational excellence program) and reports all incidents/accidents.

    Supplier Management

  • Monitor and track supplier delivery performance, chasing late deliveries, seek swift resolution on shortages

  • Liaise with the warehouses to ensure that supplier deliveries are booked in on time

  • Work with Suppliers to identify and resolve supplier issues ahead of time and build supplier performance metrics

  • Liaise with Procurement to address recuring or major supply issues

  • Provide reports on delivery performance/actions/mitigation measures both internally and to customer

    Customer engagement

  • Actively communicate with Service Centres to ensure service requirements are met

  • Maintain and share KPIs with Service Centres to monitor service levels

    Master Data and Systems

  • Ensure that master data in ERP (Dynamics) is accurate

  • Document and implement best practice, following Standard Operating Procedures

  • Communicate and escalate risks/issues to Line Manager

  • Work with Finance to ensure invoices are processed in a timely manner and exceptions/disputes resolved

    Qualifications and Experience:

    Education:

    Educated to a Graduate level in business or a Supply Chain related qualification,

    Work Experience:

    Previous experience working within a FMCG environment

    Forecasting and Demand Planning desirable

    Experience in conducting relevant root cause analysis

    Skills & Knowledge:

    Strong IT skills, including Microsoft Office applications, advanced Excel desirable

    Knowledge of ERP systems eg Microsoft Dynamics

    Strong written and oral communication in English, able to present analysis to all levels and gain business buy in

    Proven interpersonal, verbal and written communication skills

    Highly detail oriented individual

    Prioritizes work activities in order to meet timelines

    Deals effectively in a highly pressured environment

    Able to demonstrate organisational skills and multi-task

    Strong influencing skills

    Proactive and takes ownership, using own initiative
