We are currently seeking a Service Administrator for a Substance Misuse Service in Bournemouth on a 2 Month Contract Initially.

This will be a Full Time Position - Monday to Friday from 09:00-17:00.

Job Purpose



To provide a comprehensive and efficient administrative, reception, secretarial and data support function to the service.

To proactively support the smooth running of the administrative functions within the service.

*

To be responsible for generating prescriptions in preparation for signing by Consultant Psychiatrist, Central Prescribing Doctors and/or Non Medical Prescribers.

*

To communicate the services vision and deliver its mission, corporate strategy and business plans.

*

●To safeguard and protect the children, young people and adults that we work with by adhering closely to the services policies and procedures at all times and sharing any concerns immediately.

Main responsibilities / duties

Service Delivery

*

Undertake secretarial and administrative duties in accordance with the running of the services (sending appointment letters, ordering stationary and non-stock items) and arranging for maintenance work to the buildings and grounds when necessary.

*

Support the Business Support Hubs and Service/Contract Manager to meet local health & safety requirements; to include acting as a point of contact, to ensure the safety and security of staff and others is maintained at all times when allowing callers entry into the building.

*

Be responsible for the service administration function, to include processing timesheets, sick forms, payroll summaries and other workforce development paperwork including the organisation and preparation of volunteer documentation and data, supplying the appropriate information to the Service/Contracts Manager, People Operations and Business Support Hubs in a timely manner.

*

Be responsible for the receipt and processing of all referrals, screening, triage and comprehensive assessments, to input NDTMS/demographic and personal details using computerised systems.

*

Support the management team in maintaining high levels of data quality and data management.

*

Be responsible for generating prescriptions in preparation for signing; to include responsibility for regular and clear communication with the Clinical Team to ensure updating and amending prescribing information as appropriate.

*

Provide administrative and secretarial support to the specialist prescribing modality to include the receipt, storage and stock management of prescriptions.

*

Maintain and create record-keeping systems as required.

*

Work as part of an administrative team supporting the service with operational commitments to include organising diaries, allocating, arranging, cancelling and rebooking client appointments, ensuring all appointments are fully utilised and reception is effectively managed.

*

Support colleagues to use windows driven software packages, IT and data queries

*

Be responsible for taking, transcribing and distributing formal minutes for any service meeting.

*

Provide service information to stakeholders and members of the public, ensuring good working relationships are established and maintained with the service and with stakeholders including clients, service providers and other interested parties.

A Standard DBS will be required prior to starting
