Process Excellence and Standards Lead (Management Systems and Governance)
PURPOSE OF THE JOB:
In this pivotal leadership role, you will focus on two critical aspects -
Management Systems and Governance.
The aim is to deploy cutting-edge HSEQ Management systems, ensuring alignment with our overarching HSEQF strategy. The role is to champion efficiency and effectiveness, drive continuous improvement using innovated tools such as AI, ISO Standards, Six Sigma and Lean methodologies.
As the orchestrator of the Audit and ISO program, you will ensure compliance and excellence across all fronts:
Compliance Verification - Ensure that the organisation’s processes and procedures meet ISO Integrated Management System (IMS) requirements. Verify that the IMS is effectively implemented and maintained.
Continuous Improvement—Identify areas for improvement within the IMS and support the organisation in implementing changes that enhance quality and efficiency.
Risk Management—Identify potential risks to the IMS and recommend and monitor corrective actions to mitigate these risks.
Objective Assessment - Provide an unbiased evaluation of the IMS. Offer insights and recommendations based on audit findings. Lead coordination of the Audit Program across all audit types.
Training and Awareness - Educate staff on ISO IMS standards and the importance of quality management. Promote a culture of quality and continuous improvement within the organisation.
Support Certification - Assist the organisation in preparing for external ISO IMS certification audits. Ensure ongoing compliance to maintain certification.
Data Process and Management – Drive data integrity and provide analysis to support the function and business.
By fulfilling these objectives, the PES Lead ensures the organisation achieve and maintain high standards of quality, which can lead to improved customer satisfaction, operational efficiency, and overall business performance.
MAIN ASSIGNMENTS:
Conduct Internal Audits - Plan, schedule, and execute internal audits in accordance with ISO and IMServ standards. Evaluate the effectiveness of the integrated management system (IMS) and identify areas for improvement. To include the Field Technical Audit Function.
Prepare Audit Reports - Document audit findings, including non-conformities, observations, and opportunities for improvement. Provide detailed and clear audit reports to management.
Follow-up on Audit Findings - Ensure corrective actions are implemented and verified. Monitor the progress of corrective actions and ensure timely resolution of non-conformities.
Maintain Audit Records - Keep accurate and up-to-date records of all audit activities and findings. Ensure audit documentation is compliant with the IMS requirements.
Support Continuous Improvement - Identify and recommend improvements to the IMS. Participate in continuous improvement initiatives and projects.
Training and Awareness - Provide staff training and support on ISO IMS requirements and internal audit processes. Promote awareness of quality standards and best practices within the organisation.
Compliance Monitoring - Ensure the organisation’s processes and procedures comply with ISO IMS standards. Stay updated on changes to ISO IMS standards and ensure the IMS is updated accordingly.
Collaboration with Departments - Work closely with various departments to understand their processes and identify potential areas for audit. Foster a collaborative approach to quality management and continuous improvement.
Purchasing – Oversight of the procurement processes for the Quality, Fleet and HSE teams
Risk Assessment – Plan and oversee Risk and Compliance team functional risk assessment reviews, working closely with Fleet, Tech Audit, and HSE teams to ensure functional assessments are conducted in accordance with the schedule. Support the HSE Director with relevant aspects of the business Major Risks Register,
Management Reporting – Support Risk and Compliance team functions with weekly and monthly management reporting. Enable and facilitate team weekly compliance meetings.
Document Control – Maintain the internal document control repository facilitating and enabling document owners to review and update relevant documents that support the IMS.
ACCOUNTABILITIES:
Legal Compliance – Ensure compliance with regulatory, legal, Customer and IMServ standards
Audit Reports - Detailed documentation of audit findings, including non-conformities, observations, and opportunities for improvement. Clear and actionable recommendations for addressing identified issues.
Corrective Action Plans - Plans developed in collaboration with relevant departments to address non-conformities. Documentation of corrective actions and timelines for implementation.
Audit Schedules - Annual or periodic audit plans outlining the scope, objectives, and schedule of internal audits. Documentation of planned and completed audits.
Compliance Records - Records of compliance with ISO IMS standards and internal procedures. Documentation of any deviations and the steps taken to rectify them.
Improvement Recommendations - Suggestions for process improvements based on audit findings. Documentation of proposed changes and their potential impact on the IMS.
Risk Assessments - Identification and assessment of risks related to the IMS. Recommendations for mitigating identified risks.
External Accreditation – Maintain and support the business with its continuous accreditation requirements to enable IMServ to support its customer requirements.
Management Review Inputs - Data and insights provided to management for review and decision-making. Reports on the effectiveness of the IMS and areas needing attention.
PERSON SPECIFICATION:
Qualifications -
Typically holds a degree qualification in business administration, Engineering, or related fields.
ISO 9001 Lead Auditor certification or equivalent.
ISO 27001, ISO 14001, ISO 45001 Internal Auditor certification or equivalent
Advanced certifications in Lean Six Sigma or Project Management are highly beneficial
Experiences:
Minimum 3 years of experience in quality management and internal auditing.
Proven track record of conducting ISO 9001 audits.
Experience in developing and implementing quality management systems.
Skills and Competencies:
In-depth knowledge of ISO standards and quality management principles.
Implementation of robust HSE, Quality and Security Management Systems
Proficiency in audit methodologies and tools.
Strong analytical and problem-solving skills.
Excellent written and verbal communication skills.
Ability to prepare clear and concise audit reports.
Effective interpersonal skills to interact with various departments and levels of management.
Collaborate with cross-functional teams to establish and execute HSEQ Annual Operating Plan
Strong attention to detail and ability to manage multiple tasks.
Excellent time management and organizational abilities.
Proficiency in using quality management software and Microsoft Office Suite.
