Job Description: Project Admin


We have an exciting opportunity for an ECP Support role within a dynamic team at a global organisation. This is a 12-month contract, with the possibility of extension, working fully remotely. You will support global and corporate functions to drive data and AI innovations, focusing on financial processes, team administration, and project coordination.


Key Responsibilities:


  • Raising Purchase Orders (POs) using Ariba.
  • Tracking timesheets and invoices, ensuring accuracy and reconciling these against POs.
  • Managing data to ensure budgets align with spend and monitoring actuals vs. budgets.
  • Planning project resources and tracking allocations to minimise gaps and resourcing challenges.
  • Managing and navigating complex systems like SAP, ServiceNOW, and Energy Now/iPPM
  • (training will be provided but familiarity is advantageous).
  • Liaising with internal stakeholders, including senior leadership and cross-functional teams, to streamline financial administration and report progress.
  • Supporting stakeholder communication and engagement strategies.
  • Coordinating team events and maintaining schedules.
  • Creating presentations, sending reminders, and managing access permissions.
  • Supporting ad hoc tasks like managing new projects in internal systems or tracking team activities.



Work Environment:


  • Fully remote, with an annual offsite team gathering in London.
  • Working within a globally diverse, collaborative, and innovative team of data engineers, architects, and solution architects.



Required Skills:


  • Proven ability to handle detailed administrative tasks, such as scheduling, reporting, and event coordination.
  • Strong prioritisation and organisational skills for managing competing deadlines.
  • Experience raising POs, tracking invoices, and reconciling financial data.
  • Familiarity with tools such as Ariba, SAP, ServiceNOW, or similar platforms is highly preferred.
  • Ability to communicate concisely and effectively, particularly when working with global teams where English may not be the first language.
  • Ability to engage with internal stakeholders, liaise with leadership teams, and balance competing priorities.


Preferred Qualifications/Experience:


  • Experience working in global organisations, especially navigating large, complex systems and processes.
  • Familiarity with IT/Digital environments, particularly working within technical teams.
  • Proven ability to learn new systems quickly and independently, with examples of success in adapting to unfamiliar processes.
  • A proactive, self-starting approach with a keen eye for detail.
  • Background in finance or project coordination, especially in roles requiring reconciliation, reporting, and financial monitoring.
