In this pivotal role, you will support the Business Intelligence Manager (BIM) with the administrative aspects of the department’s daily operations, ensuring smooth and efficient workflows.


As a key member of the Business Intelligence Department, you’ll take the lead in compliance assurance, data collation, and analysis, providing vital support to managers at all levels across the establishment. Your work will help shape informed decision‑making, strengthen compliance standards, and drive operational excellence.

Main Responsibilities

  • Coordination of the process for prisoner complaints and organising Internal Complaints Committee
  • Coordination of the Incident report process ensuring all actions and outcomes are addressed and recorded
  • Coordination of the local prisoner property compensation claims
  • Collation and assurance of data and information for various daily, weekly and monthly performance reports
  • Provide assistance with the handling of all requests for information under Freedom of Information (Scotland) Act 2002, Environmental information (Scotland) regulations 2004 and Data Protection Act 1998.
  • Monitor compliance for the prison records system and CMS
  • Minute taking at management meetings
  • Provide support to maintain the archive store(s) in line with all relevant policy and the Data Protection Act
  • Ensure all audit action plans are monitored and regularly updated with outcomes
  • Be part of a multi-tasked team to provide a service to the prison as a whole. This will include providing relief cover for other administrators as required
  • Undertake duties as required that will contribute to the effective operation of the prison

The Ideal Candidate
Essential

  • IT literate with excellent working knowledge of Microsoft Office including Excel, Word, Visio and Outlook
  • Ability to effectively prioritise and work in a fast paced environment ensuring all deadlines are met
  • Excellent numerical, investigative and analytical skills with the ability to interpret and report on data / information
  • Previous experience in an administrative role
  • Competent in all aspects of administration including minute taking

Desirable

  • Previous experience of working in a custodial environment
  • Working knowledge of relevant criminal justice/ prison legislation, standards and knowledge of the wider criminal justice system
  • Previous experience of working in a compliance role
